Cancellation & Refund Policy

We understand that life is busy and schedules change. This policy outlines how cancellations, rescheduling, and refunds work for all tutoring services provided by LearnUp Academy.

1. Lesson Cancellations

  • Cancellations must be made at least 24 hours in advance of the scheduled lesson.
  • You can cancel or reschedule a lesson by logging into your Teachworks account or contacting us directly at support@learnupacademy.com.
  • Cancellations made within the allowed timeframe will not be charged and can be rescheduled.

2. Late Cancellations & No-Shows

  • If a lesson is cancelled less than 24 hours before the start time, or if the student does not attend, the session will be charged in full.
  • Tutors will wait up to 15 minutes from the scheduled start time. Any time missed due to a late arrival will be deducted from the session. If the student does not arrive within 15 minutes and no notice is given, the session is canceled and non-refundable.
  • Repeated no-shows may result in a pause or cancellation of future lessons.

3. Tutor Cancellations or Emergencies

  • In rare cases where a tutor must cancel a lesson, we will notify you as early as possible.
  • You will have the option to reschedule the session or receive a full credit toward your next lesson.

4. Refunds

  • We do not offer refunds for completed or missed sessions.
  • Refunds for unused prepaid lessons may be considered on a case-by-case basis.
  • If you are unsatisfied with a lesson, please contact us directly so we can resolve the issue.

5. Package & Subscription Policies

  • Prepaid packages are non-transferable and expire after 3 months.
  • Subscription clients must cancel before the next billing cycle to avoid being charged.

Payment & Billing Policy

At LearnUp Academy, we are committed to making the payment process secure, transparent, and simple for our clients. This policy outlines how payments, billing cycles, and account charges are handled.

1. Accepted Payment Methods

  • We accept all major debit and credit cards via Stripe, our secure payment processor.
  • Payments are made using the “Pay Now” button on invoices sent via email.
  • Alternative payment methods (e.g., PayPal, bank transfer, Zelle) may be offered by request and are subject to approval.

2. Payment Timing

  • Prepaid Clients: Invoices are sent on Fridays and are due on Sundays. No lesson will be confirmed until payment is received.
  • Subscription Clients: Payments are automatically charged on a recurring basis according to your chosen plan (e.g., weekly/monthly).
  • Single Sessions: Must be paid in full at the time of booking.

3. Invoices & Receipts

  • Invoices are automatically generated through Teachworks and can be accessed via provided email.
  • You will receive email receipts for all payments made.

4. Failed Payments & Declines

  • If a payment fails, you will be notified immediately and expected to update your payment information before the invoice is due.
  • Repeated failed payments may result in suspended access to tutoring services until resolved.

5. Refunds & Credits

  • Refunds are only provided under the conditions outlined in our Cancellation & Refund Policy.
  • Credits may be issued at our discretion and applied to future lessons. Credits are non-transferable and expire after 120 days.

6. Price Changes

  • We reserve the right to adjust pricing for lessons, subscriptions, or packages.
  • Clients will be notified at least 14 days in advance of any pricing changes.

7. Taxes

Sales tax may be applied to your purchase depending on your location and local regulations.

Terms & Conditions

Welcome to LearnUp Academy. These Terms & Conditions (“Terms”) govern your use of our website, booking platform, and tutoring services. By using our services or booking a session, you agree to comply with these Terms.

1. Services Provided

We provide online tutoring services for students of all ages and academic levels. All sessions are scheduled through Teachworks and conducted via the Lessonspace virtual classroom. Clients are expected to use these platforms to attend their lessons unless otherwise arranged.

2. Account Registration

To use our services, you may be required to create an account through Teachworks. You agree to provide accurate information and are responsible for maintaining the confidentiality of your login details.

3. Lesson Platform & Technology Requirements

  • All tutoring sessions take place online using Lessonspace, accessed through your Teachworks account.
  • You are responsible for having a stable internet connection, a working microphone and webcam, and access to a modern browser.
  • We are not responsible for missed sessions due to technical difficulties on the client’s end.

4. Payments

  • All payments are securely processed through Stripe.
  • You may be charged per session, or through recurring or prepaid plans, depending on your selected package.
  • Payment is due before services are rendered unless otherwise agreed.

5. Cancellations and Refunds

  • Cancellations must be made at least 24 hours in advance to avoid being charged.
  • Late cancellations or no-shows may result in a forfeited session without a refund.
  • We reserve the right to cancel or reschedule sessions with notice, due to tutor availability or emergencies.

6. Tutor Assignment

Tutors are assigned based on availability, expertise, and student needs. Clients may request a preferred tutor, but we cannot guarantee ongoing availability.

7. Student Conduct

Students are expected to behave respectfully during lessons. Inappropriate or disruptive conduct may result in session termination without a refund.

8. Intellectual Property

Most materials used in lessons (such as worksheets, PDFs, or practice problems) are sourced from publicly available educational resources. We do not claim ownership over third-party content. However, any materials specifically created by our tutors (such as custom notes, summaries, or lesson plans) remain the intellectual property of LearnUp Academy or the tutor who created them and may not be reproduced or shared without permission.

9. Limitation of Liability

We make every effort to deliver effective educational support but do not guarantee specific academic results. We are not responsible for internet issues, missed sessions due to user error, or any damages resulting from use of our platforms.

10. Modifications

We may update these Terms at any time. Updates will be reflected on this page with a new “Last Updated” date.

12. Trial Lesson Disclaimer

We collect limited personal information during trial lesson signups (parent name, parent email, student name, student email, student grade, and subject interest) to match you with an appropriate tutor. This information is not sold or shared with third parties for marketing purposes and is used solely for scheduling and educational purposes.

13. Educational Use Clause

All data collected through our platform is used exclusively to provide personalized tutoring services and improve the educational experience of our students.

14. No Direct Communication Clause

Tutors are not permitted to contact students outside of LearnUp Academy platforms. All communications are monitored for safety and professionalism.

15. Do We Make Updates to This Notice?

Yes. We will update this notice as necessary. The updated version will be indicated by an updated “Revised” date at the top of this Notice.
